One-night hotel stay policy for PG&E power outages

Below are the qualifications and procedures for residents who need a one-night hotel stay from March 16-17, 2023, or from March 23-24, 2023, during extended PG&E power outage events.

Qualifications

All requirements must be met.

  1. Resident must live in an area with a current and confirmed PG&E power outage due to the recent windstorm.
  2. Resident must live within incorporated City of Menlo Park.
  3. The City reserves the right to determine qualifying circumstances case-by-case.

Procedures

  1. Resident shall provide documentation of one-night hotel stay from March 16, 2023, to March 17, 2023, and/or March 23, 2023, to March 24, 2023, for reimbursement up to $200 from the City. Submit the following documentation to the City using the online reimbursement form:
    1. Home address and acknowledgement that a PG&E power outage is affecting the address.
    2. Names and relationships (include children’s ages) of the people who were relocated to hotel.
    3. Contact information for all adults in the household (emails and cellphone numbers).
    4. Proof of residency (i.e., driver’s license and utility bill) for all adults in the household.
    5. Hotel bill for reimbursement up to $200.
  2. Resident may be eligible for reimbursement up to $400 from the City if enrolled in the PG&E CARE program or PG&E Medical Baseline program. Resident shall submit the following additional documentation to the City:
    1. Most recent PG&E bill to verify enrollment in PG&E CARE or Medical Baseline program.
  3. The City shall review and approve request after the submission deadline. The City will review and approve requests in the order in which they are received and shall confer no preferences or benefits to any person(s) based on any factors.
  4. The City will provide reimbursement not to exceed the room rate and applicable taxes for beneficiaries up to $200 for one night of accommodation in a local hotel or to beneficiaries with qualifying and verified enrollment in the above listed PG&E programs up to $400 for one night of accommodation in a local hotel. The City shall not pay, and beneficiaries shall be responsible for every and all incidentals and all other charges and shall provide proof of payment according to hotel policy to the hotel upon check-in.
  5. If City determines that beneficiary is abusing the hotel stay benefit (i.e., selling the hotel stay, letting guests stay overnight, violating hotel rules and regulations, lacks a need for hotel accommodations, and/or any other basis for the City to conclude that beneficiary is abusing the benefit), the City reserves the right to deny reimbursement for hotel stay or seek reimbursement from beneficiaries and/or any remedies at law or in equity.

By partaking in this program and obtaining the benefits of the program, beneficiaries shall defend, indemnify and hold harmless the City and its officers, employees and agents from and against any and all causes of action, claims, liabilities, obligations or damages arising out of the participation in, and receipt of benefits from this hotel stay reimbursement program and benefits. Beneficiary further agrees and understands that the benefits provided under this policy are not a right nor do they entitle the beneficiary to any ongoing benefits or reimbursements by the City.
